How to use the Backlink CRM
The Backlink CRM organizes every prospect into a link-building pipeline so nothing slips. It replaces the outreach spreadsheet with clear stages, per-site history, owners, and live-link tracking.

Where to find it
Dashboard → Prospects.
Step by step
- 1
Open your pipeline
The Prospects page shows a Kanban board with five stages — Prospect, Contacted, Replied, Negotiating, and Live — plus a full 'All prospects' table below it.
- 2
Read each prospect card
Every card shows the site, its authority, the assigned owner, and the intended rel attribute (editorial, sponsored, or nofollow) so the whole team sees where a relationship stands at a glance.
- 3
Track a relationship from contact to live
Follow a prospect across the stages as outreach progresses. When a link goes live, it lands in the Live column and becomes a link you can monitor for future changes.
- 4
Keep records clean
Log outreach history, notes, and approvals per site. Clear records let you prove links were earned editorially and label any sponsored relationship correctly.
Tips & guardrails
- Purpose-built stages beat a generic sales CRM — track authority and rel attributes, not deal revenue.
- Assign an owner to every prospect so follow-ups don't fall through the cracks.
- Mark sponsored relationships explicitly and carry the rel attribute through to the live link.
FAQ
Backlink CRM — questions
The stages and fields are built for link building — authority, link type, rel attributes, and live-link tracking — instead of deals and revenue.
Yes. Won prospects become live links, so if one later breaks or changes, you'll know. Pair it with the Authority Tracker's lost-link log.
